TERMS AND CONDITIONS

 

Booking and payment

Our quotation is the basis of our contract with you and is valid for 30 days from the date of printing. A non-refundable deposit of 30% is required to secure any booking and is acceptance of our conditions.

We require the balance to be settled on invoice 72h before the events. An invoice is treated as received the day we hand it to you, deliver it to your address or sent it to you by email or fax. If we post it by first class post, it is treated as received the second day after posting, not counting weekends and public holidays. Prompt payment of invoices is essential so that we can order your ingredients an engage and pay waiters, kitchen porters etc. If an invoice is not paid within 48hrs of the event, we may suspend starting your event.

Where we employ sub-contractors or hire a venue on your behalf, you agree to accept the terms and conditions imposed by sub-contractors or venue.

You must allow us to carry a site survey (large event) or agree to provide as much information about your facilities (less than ten guests) so we understand the facilities available to us to facilitate your event. We offer a no-obligation quote service and free site surveys (subject to distance of venue).

Minimum Spend – up to 6 persons

There is a minimum spend that must be met for us to be able to provide you with our private chef service. The minimum spend works out around 6 persons from our 3-course fine dining menu, this is currently £360; the minimum spend covers your chosen menu, chef planning, shopping and travelling to you.

Delivery, congestion and ULEZ charges

For delivery in certain areas of Central London you will be charged the Central London Congestion Charge of £15.00 and ULEZ charge of £12.50, per order irrespective of the total price or delivery time of your order. PLEASE NOTE THIS CHARGE IS IN ADDITION TO THE DELIVERY CHARGE FOR LARGER EVENTS.

All prices shown are inclusive of VAT. A 30% is required on all catering work before commencement. Payment can be made by electronic transfer into:

Unavailability of Produce

We make every effort to keep to our quoted price and will endeavour to provide the produce agreed on our menu. However, if any goods are unavailable due to circumstances beyond our reasonable control (market prices are constantly changing, unavailability of seasonal produce, but not limited to), we will explain the problem to you and will offer substitution where possible from a different supplier of reasonably similar quality and price. If you do not wish to accept the substituted good or quotation, please contact us as soon as possible so that we can discuss other alternative arrangements.

All charges are at the discretion of VELVINDRON and do not affect your statutory rights.

Food safety

All food which is not consumed within a reasonable time at room temperature should be disposed of. Any person subsequently consuming food, or taking food home for consumption, does so at their own risk. We cannot accept responsibility for food consumed otherwise than at the location at which the food is supplied, or after the initial reasonable period.

COVID-19 Extra safety measures

We are taking the Coronavirus situation very seriously. Our policy and training consist of very high standards of hygiene. We are following the government guidelines very closely and adapting our working environment accordingly to minimise any possible risks of infection to our chefs, team and clients, here are some of the additional measures we are taking to ensure the utmost safety of our clients and ourselves:

- Our team is aware of and monitors for potential symptoms of Coronavirus and will not report to work if any such symptoms appear.

- We are wearing gloves, and even masks in certain cases, to avoid exposure while grocery shopping and commuting.

- Our team are instructed to thoroughly wash hands once entering a client’s residence, before touching any surfaces.

- In addition, chefs are aware of the virus’s life span on surfaces, so we disinfect and continually wash hands during food preparation.

- All fruit and vegetables are thoroughly washed before using, although there is no evidence that viruses could survive on the surface of food, doing this precautionary measure helps remove potentially harmful microorganisms.

- As it will not always be possible to keep a distance of 2 metres, our team has been advised to avoid close and direct contact with clients as much as possible. Keeping a distance of at least one meter.

Food Allergies & Intolerances

Please note that all our food contains allergenic ingredients. Special diets for food allergies will be catered for only if they have been arranged before your event and confirmed in writing. If you wish to know more about our ingredients, please ask us as soon as possible. Please note that we work with allergenic ingredients and while we can cater for special diets for people with food allergies, we cannot guarantee that the meals will not contain traces of allergenic ingredients.

Confirmation and change of numbers

Final numbers will be required no later than one week before the event at the latest. Functions will be charged as per final numbers, should they decrease or increase for any reasons, we must be contacted immediately. Additional numbers mean more work not listed in our quote, in this case, we will require you to request a new quote by phone, in writing or the form of an email. We will not provide for the extra numbers unless we have explained it to you and quoted a price which you have accepted in writing. We will normally invoice you for additional amounts once the price has been agreed and we will not provide the service until the price is paid.

Any increase in numbers two days before the event cannot be guaranteed due to preparation and supplier times.

We reserve the right to charge (including for any applicable increased or overtime rates) more for staffing costs should any function run on longer than initially planned or detailed in the quote agreed.

Cancellation of contract

These conditions give us the right to cancel in certain circumstances. If the agreement is cancelled, you will still be legally liable to pay 50% two weeks before the event. Cancellations one week before event 100% of function costs are to be charged.

The total event cost will be based on the number of confirmed guests attending at the agreed price per head. Should guest numbers be unconfirmed at the time of cancellation the total event cost will be based on the originally quoted/estimated guests numbers.

If you decide to transfer your event date, the company cancellation charges will apply, and you will be required to complete a new booking form for the new date and pay a new deposit.

In the event of a cancellation made by us due to circumstances beyond our control, we will, by notice in writing to the client, terminate the agreement and return to the client any payments made to us by the client.

COVID-19 Extended cancellation policy

Considering the COVID-19 outbreak, we have revised our terms and conditions to include more flexibility with regards to our cancellation policy, therefore any cancellation relating to COVID-19 or similar pandemic, any money paid to us will be fully refunded except the 30% deposit which is non-refundable. The deposit can be used as credit towards another date without incurring any penalty or charges.

Loss and/or damage

You are responsible for any loss and or damage to hired equipment from the time the equipment is delivered until it is collected by us or a sub-contractor or returned.

Liability

We cannot accept liability for lack of performance due to strike, lock out, hostilities, acts of God or any other circumstances beyond our control.

Bad weather

We cannot be held responsible in any way for any unsuitable weather conditions that may arise. The normal cancellation fee will be applicable in these situations.

Property

No liability can be accepted by us for the personal property of clients and guests.

Complaints

If you are unhappy with any of our work or have a complaint, please tell us immediately, so that we can put right anything that has gone wrong and sort out any problems. We want our customers to be satisfied with the end result and with this in mind will endeavour to establish good lines of communication for this to happen.

Insurance

It is strongly recommended that clients arrange adequate Event & Cancellation Insurance to protect against cancellation, costs, damage, public liability.

INTELLECTUAL PROPERTY

Unless otherwise stated, the copyright and other intellectual property rights in all material on this Website (including without limitation photographs and graphical images) are owned by us. The names “VELVINDRON”, is our trademark. You may not reproduce or store any such material on any other website or include it in any public or private electronic retrieval system or service without our prior written permission. You may print one copy of the content for your personal use provided that you keep intact any copyright or proprietary notices.

SECURITY AND PRIVACY POLICY

We take your security very seriously and have gone to great lengths to ensure that your experience with us is safe.

We respect your privacy, and we are committed to protecting your privacy. The personal information that you give us is held with care and security. We do not sell, rent or transfer this information to third parties for their marketing purposes. We will only use the information that we collect about you lawfully (in accordance with the Data Protection Act 1998).

We collect information about you to process your order and to provide you with the best possible service.

We will give you the chance to refuse any marketing email from us.

The type of information we will collect about you includes:

We will never collect sensitive information about you without your explicit consent.

The information we hold will be accurate and up to date. You can check the information that we hold about you by emailing us. If you find any inaccuracies, we will delete or correct it promptly.

The personal information which we hold will be held securely in accordance with our internal security policy and the law.

If we intend to transfer your information outside the EEA (European Economic Area), we will always obtain your consent first.

We may use technology to track the patterns of behaviour of visitors to our site. This can include using a "cookie" which would be stored on your browser. You can usually modify your browser to prevent this from happening. The information collected in this way can be used to identify you unless you modify your browser settings.
